1. Who we are and what this covers
GetBacklink AI (“GetBacklink AI”, “we”, “us”) runs a workspace at getbacklinkai.com that helps you submit your own products to web directories and launch platforms, and send and track outreach emails for backlinks. This policy explains what information we handle when you visit the site or use the workspace, and what we do with it. Questions go to support@getbacklinkai.com.
Effective date: 2026-10-23.
2. Information we collect
- Account information. When you sign in with Google we receive your email address, your name and, if Google provides it, your profile picture, plus a stable Google account identifier. We use these to create and recognise your account.
- Workspace content. What you or your connected AI agent put into the workspace: product names, descriptions, URLs and assets, keywords, competitors, directory and prospect records, contacts, email templates, drafts, submission notes and statuses, and the login details you choose to store for directory sites (stored encrypted, see Security).
- Gmail connection data. If you connect a Gmail mailbox, the mailbox address, the OAuth tokens Google issues, and the outreach emails and replies described in the Google user data section below.
- Technical data. Standard server request data such as IP address, browser type and request time, used to run and secure the service.
- Support messages. Anything you send to our support address.
3. How we use information
We use the information above only to:
- provide, operate and maintain the workspace and the features you ask for;
- authenticate you and keep your account and sessions secure;
- send the emails you approved, and show you the replies to them;
- detect abuse, debug problems and protect the service;
- answer support requests and comply with legal obligations.
We do not sell your personal information and we do not use it for advertising.
4. Google user data
GetBacklink AI uses Google sign-in, and optionally connects a Gmail mailbox that you choose. This section describes exactly what we request from Google and what we do with it.
Scopes we request
- Sign-in:
openid,email,profile. To identify you, create your account and show your name and address in the workspace. https://www.googleapis.com/auth/userinfo.email(when connecting Gmail). To record which mailbox you connected, so we do not ask you to type your own address and so you can see which account outreach leaves from.https://www.googleapis.com/auth/gmail.send. To send, from your own Gmail address, the outreach emails that you reviewed and approved in the workspace. We send only messages you approved, and only to the recipients on them.https://www.googleapis.com/auth/gmail.readonly. Used for two things only: (1) to read replies to the outreach emails sent through GetBacklink AI, so you can see them in your workspace inbox and so we can stop follow-ups and flag bounced addresses; and (2) to search for the verification or confirmation email that a directory sends after you or your agent sign up to it, so the sign-up can be completed. Google offers no narrower read-only scope for these tasks. We never modify, label, archive or delete anything in your mailbox.
What we access and keep
- For replies, the app asks Gmail for recent messages in your inbox and keeps a copy (sender, subject, body text, time and thread identifiers) only of messages that belong to a conversation GetBacklink AI started. Other messages are looked at by our software to decide that they do not match and are not saved.
- For verification emails, a search narrowed to the directory’s domain and a short recent time window runs when you or your agent ask for it. The result (subject, sender, time, verification links and short codes found in the message) is returned to your own workspace session so the sign-up can be finished; we do not store it in our database.
- We store the OAuth tokens Google issues to us, encrypted, so we can send and read on your behalf until you disconnect.
Limited Use
GetBacklink AI’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In line with those requirements:
- We use Google user data only to provide and improve the user-facing features described above, which are visible in the workspace.
- We do not transfer Google user data to others, except as needed to provide those features, to comply with applicable law, for security purposes such as investigating abuse, or as part of a merger or sale where you are notified. The infrastructure providers listed below process it on our behalf under this restriction.
- We do not use Google user data for serving advertisements, including retargeting or interest-based advertising.
- We do not sell Google user data.
- We do not use Google user data to develop, improve or train generalized artificial-intelligence or machine-learning models.
- No human at GetBacklink AI reads your Gmail data, except (a) with your explicit consent for specific messages, for example when you ask support to investigate; (b) when necessary for security purposes, such as investigating abuse or a bug; (c) to comply with applicable law; or (d) where the data has been aggregated and anonymised for internal operations.
Your AI agent
The workspace is designed to be driven by an AI agent that you connect yourself, such as Claude Code. When you ask that agent to read a reply or fetch a verification email, the content is delivered to your session with that agent and is handled under that provider’s terms and settings, which you control. We do not send Google user data to any AI model on our own.
7. Retention and deletion
- Workspace content and the copies of replies we keep are retained while your account is active, so your outreach history stays complete.
- Disconnecting Gmail in the workspace (Preferences) deletes the stored mailbox record and its tokens from our database. Replies already saved in your outreach history remain until you delete them or ask us to.
- You can ask us to delete your account and all associated data, including any Google user data, by emailing support@getbacklinkai.com from your account address. We will act on verified requests within 30 days. Residual copies in provider backups are overwritten in the normal backup cycle.
- Technical and security logs are kept only as long as needed to operate and protect the service.
8. Revoking Google access
You can withdraw GetBacklink AI’s access to your Google account at any time at myaccount.google.com/permissions: pick GetBacklink AI and choose “Delete all connections” (or the equivalent option shown). Access stops immediately and our stored tokens stop working. You can also disconnect Gmail from within the workspace. Revoking access does not delete data we already hold; use the deletion process above for that.
9. Security
Traffic to the service is encrypted in transit with HTTPS. Gmail OAuth tokens and the site login passwords you store are encrypted at rest with AES-256-GCM using a key held separately from the database. Access to the production database is limited to what is needed to run the service. No system is perfectly secure, so we cannot guarantee absolute security, but we will notify affected users of a breach as required by law.
10. Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, to object to or restrict certain processing, and to complain to a data protection authority. Write to support@getbacklinkai.com and we will respond within a reasonable time. Where we rely on your consent, such as the Gmail connection, you can withdraw it at any time as described above.
11. International transfers
Our infrastructure providers operate globally, so your information may be processed in countries other than your own. We rely on our providers’ safeguards for such transfers.
12. Children
The service is not directed to children under 16, and we do not knowingly collect their personal information.
13. Changes to this policy
We may update this policy. When we make a material change we will update the effective date above and, where the change affects how we use Google user data, ask for your consent again if the law or Google’s policies require it.
